Implementing Enterprise solution and investing that much money in it is a very good decision. But to implement such collaborative tools there are certain steps to follow to grantee the success of the implementation and usage as well. The steps include assess the organization’s needs, assess the individuals and many other steps which the team of EPMO Team missed.  

One of the main issues they missed is that they didn’t maximize the learner choice. I mean that they didn’t organize a pilot team, or the key people od each location to lead the change in their location or they are the main employees who will use the tool. Not involving the right employees will lead the consultation effect which means that the employees will resist using the tool or become so slow in adopting it. They will also feel dissatisfied in their work.  They even may consider moving to another company. They also didn’t mention if the team members, who assigned to tasks, are the key members who uses the tool or not.

I recommend that Julie and her team start to identify the key employees of the tool in each site and ask them to participate in a survey to determine the reasons behind their resistance then start with sessions for them in each location to make them participate more in the tool and take their feedback about it because by their assessment , we can understand whether the tool fits them or not  and to what extent this tool fits their needs. Depend of their feedback, Julia should adjust the tool to meet the participants expectations.

The second issue that I think they missed is the customization. They didn’t mention if these tasks include customization for each location or not. They mentioned that they did a deep research and the result is the employees slowly adopting it or resisting it. It also results in dissatisfaction between the employees. I think also they didn’t do enough research because in the end they found that they needed more resources in the slow-moving sites.

For this I recommend that Julie should start to provide the needed resources for the slow-moving sites and follow with them the status of the implementation and the satisfaction of the workers on the tool. Also, they need start to customize the tool to fit the needs of the employees/users of the tool. The more it fit, the more satisfaction they will get in the feedback process and the more they users feel being productive.

Third issue is that they didn’t consider training on the new tool to get the users familiarized with it. Also, they didn’t consider the maturity level of each location. Moreover, they didn’t consider the risks of the implementation especially the data risk because all data will be migrated. What if they lost some of it? is there a backup plan? how strong the migration tool they using and till what extent it can save the data of being lost during the migration process?

In my opinion, they focused on the revenue without considering what can happen. They looked only on how much profit this investment can get them?
