Knowing the Your Audience

When a company has to pass on information to another organization or group of people it is very important the company knows its audience. If the information being passed on is about a disaster then it is even more important the company knows their audience. It is important to keep your audience in mind when organizing the information you are going to present to them. Not everyone is the same in an audience and everyone will have a different point of view, so it is important to consider everyone and their needs (Weik, 2010). Your audience will sense if you are concerned with their needs or the needs of the company by the way you present the information to them. If they sense that you are being straight forward, truthful, and are creditable then they are more likely to be receptive to you and the message being sent (Neal, 2010). When organizing the information you are going to present to your audiences imagine what type of information would be most appealing to them and focus your attention on that. When presenting information to your audience you want to give them all the facts without overwhelming them with the small details. Thinking about the interest of your audience will help you present the information better so your audience understands it with the least amount of effort. If you can anticipate the needs and wants of your audience, then you have a better chance of them understanding the original context of the message with little confusion.

Presenting a Message: Addressing the Needs of the Audience

A small copper mine in northern Chilean suffered a cave-in on August 5, leaving 33 workers trapped underground and one dead. Rescuers drilled holes in an attempt to locate the workers, but there is no official confirmation whether they would be alive after four days with limited food, water and oxygen (Weik, 2010). A second cave-in on Saturday forced rescuers to suspend works for several hours. Workers are trapped at a depth of around 300 meters. On Oct. 13, 2010, the 33 miners who had been trapped underground for more than two months all returned to the surface after a successful rescue operation that inspired Chile and riveted the world (Weik, 2010). When trying to communicate with the families of the miners involved in the incident, you must first think about their feelings and what they must be thinking. The families of the miners are scared and fearing for the lives of their love ones, so knowing and understanding their needs is important when trying to communicate with them. If they have not been informed by the company with details of what is going on with their love ones, then everything they know is coming from the media, which could cause them to image the worst. The company needs to contact the families by phone or face-face to reassure the families that everything is being done to rescue the workers from the mine as quickly as possible. They should be informed of the situation with accurate and reliable details, but nothing that will cause the families of the miners to overreact
